Corporate Capability Law is seeking a Legal Executive Assistant to provide administrative and analytical support to the Deputy General Counsel for Corporate Capability (DGCC) who will manage this position.

The successful candidate must be able discreetly and routinely to handle confidential information and maintain a positive and professional working relationship with the DGCC, senior Law Function and government business leaders, and with colleagues within and external to the Law Function. This position requires a high level of initiative, accuracy, and attention to detail. This position also requires a positive, can-do attitude, excellent problem-solving skills, and the ability to multitask and manage a high volume of work.

Responsibilities for this position may include but are not limited to:

  • Managing the DGCC’s Outlook calendar, including scheduling and coordinating logistics for meetings, activities, and special functions.
  • Coordinating domestic and international travel logistics including preparing detailed travel itineraries, tracking and gathering business and travel related expenses to compile expense reports, and providing background information for meetings and trips as needed.
  • Tracking and coordinating all travel requirements including visas, immunizations, photos, passport renewals, etc.
  • Prioritizing items that need immediate attention and following up with others as necessary to meet deadlines, while using discretion to assign action items to others for handling and coordinating with others as needed.
  • Composing messages and replies on behalf of the DGCC as needed and handling sensitive and classified material in a professional manner.
  • Effectively representing the DGCC’s office in communications with high level executives and executive assistants.
  • Drafting, formatting, and revising legal documents under stringent deadlines which require strong word processing skills, attention to detail and excellent proofreading skills to assure accuracy and coherency.
  • Assisting attorneys and legal professionals in preparing correspondence, presentations, and routine reports.
  • Creating and updating legal matters in internal matter management system (Team Connect) and processing related e-billings, invoices, and payments.
  • Working in iManage uploading materials, calendaring, reviewing, and researching documents and generating reports.
  • Researching inquiries and relieving leaders of administrative details.  Acting as an information resource for Corporate Capability.
  • Coordinate updates to the Corporate Capability Law Intranet Site and organizational charts.
  • Assisting and providing backup coverage to other legal and executive assistants.

Required Qualifications:

  • Associate’s degree or equivalent
  • 5+ years of legal administrative experience supporting attorneys
  • Ability to multitask, take initiative, anticipate needs, and remain calm under pressure
  • Proven ability to prioritize, meet deadlines, and exercise good judgment
  • Strong ability to maintain the upmost confidentiality and adaptability to changing demands
  • Strong interpersonal and problem‑solving skills
  • Ability to communicate effectively (oral and written) at all levels of the organization
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Forms), SharePoint, iManage, Team Connect, CTREX, and MS Teams
  • Intermediate Excel skills; basic DocuSign skills
  • Strong organizational skills and attention to detail

Preferred Qualifications:

  • Bachelor's degree
  • Experience with e-billing, matter management systems and setting up vendors in payment systems
  • Notary

Relocation Options:

Relocation is not offered for this role. Only local candidates will be considered.

International Considerations:

Expatriate assignments will not be considered.
