Chevron is seeking a highly motivated Tax Administrative/Support Analyst to provide essential support to the State Income Tax & Audit team. This role is instrumental in ensuring accurate document handling, timely tax processing, and efficient administrative operations within a fast‑paced corporate tax environment.

Key Responsibilities

Document Handling & Management

• Perform high‑volume electronic document scanning and ensure accurate, consistent filing within Chevron’s tax document management system.

Tax Return & Compliance Support

• Process tax letters, tax returns, and other deliverables such as tax ID requests, U.S. residency certificates, and annual reports.

• Assemble state, local, and corporate tax return packages; ensure completeness, proper labeling, and obtain required officer signatures.

Mail & Correspondence Coordination

• Create and process certified, FedEx, and courier mailings for tax returns, extensions, and notices.

• Open, sort, route, and/or scan incoming tax correspondence to ensure timely delivery to tax personnel for follow‑up.

Administrative Support

• Coordinate vendor payments

• Facilitate guest badge setup.

• Provide reliable administrative assistance to support daily operations and team needs.

Project & Ad‑Hoc Support

• Assist with state withdrawals and special projects as assigned.

• Provide flexible support for additional tasks as needed across the State Income Tax & Audit team.

Required Qualifications

  • 5+ years of administrative assistant experience, preferably supporting a tax function.
  • Strong organizational skills and ability to manage multiple tasks and deadlines.
  • High attention to detail in data entry, scanning, and processing.
  • Proficiency in SMART GEP, SharePoint, Excel, Word, Outlook, and Teams.
  • Strong communication and collaboration skills.
  • Ability to manage workload during high‑demand periods such as tax season.
  • Demonstrated problem‑solving abilities.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.

Preferred Qualifications

  • General knowledge of accounting and tax terminology.
  • Experience working in a corporate tax, finance, accounting department.
  • Agile and flexible with openness to new challenges and continuous learning.
