Responsibilities for this position may include but are not limited to:
Executive Support - performs the following duties for and on behalf of the Business Unit (BU) Head including:
Coordinating and managing the BU Head’s calendar to ensure proper alignment with scheduled activities and meetings
Coordinate travel arrangements for BU Head and providing logistical support as needed
Plans, organizes and implements activities such as IT townhalls, diversity activities, job fairs, focus group discussions and other activities involving IT
Assists in planning, organizing and documenting the itineraries of business visitors
Manages logistic requirements (food, venue, transportation, registration, itinerary, etc.) for IT Business Units (BU) and departments / Employee Network Group (ENG) activities such as meetings, trainings, team building, business continuity and other BU-related activities
Coordinates with vendors on behalf of the BU for their operational requirements. This includes sourcing, contracting, ordering, preparing invoices and processing payments in accordance with Chevron’s Procurement process
Performs role of Time Administrator which includes data maintenance, report generation, answering queries and work schedule maintenance
Assists with rapid onboarding process for Asia Pacific region to ensure timely onboarding of resources
Coordinate large scale office movement and events
Requirements:
Must have at least 2 years of experience as an administrative associate in a fast-paced, complex office setting
Proficient in MS Office Suite programs
Excellent written, verbal, interpersonal and communication skills
Proven ability to provide excellent customer service and build strong relationships with various personas in the organization which includes management, peers, vendors, and stakeholders across disciplines, geographies, and time zones
Pays attention to detail and is well-organized
Ability to multi-task and prioritize conflicting demands within tight deadlines
Proactive Anticipation of needs. Must be able to plan and look ahead, anticipating timelines and deliverables; to work independently and with supervision
Experience in planning, coordinating, and organizing office events
IT background is a plus
